01Acceptance of These Terms

These Terms of Service ("Terms") govern your access to and use of the Vihaani Events website and our event management services. By using this website, submitting an enquiry, or engaging us for an event, you agree to these Terms.

If you are using our website or services on behalf of a company or other organisation, you represent that you have authority to bind that organisation to these Terms.

If you do not agree with these Terms, please do not use this website or our services.

02About Vihaani Events

Vihaani Events is an event management company based in Kathmandu, Nepal. We plan, coordinate, and manage events including weddings, corporate events, sports tournaments, cultural celebrations, and private functions.

Information on this website is provided for general information. Event availability, pricing, and scope are confirmed only through a written quotation or event agreement.

03Use of This Website

You may use this website for lawful purposes only. You agree not to:

  • Use the website in a way that violates applicable law or the rights of others.
  • Attempt to gain unauthorised access to the website, its systems, or any connected networks.
  • Introduce viruses, malware, or other harmful material, or interfere with the website's operation.
  • Scrape, copy, or republish website content for commercial purposes without our written permission.
  • Use the website to send spam, misleading messages, or fraudulent enquiries.

We may suspend or restrict access to the website where we reasonably believe these Terms have been breached.

04Event Services

Our services are tailored to each event. The specific services, deliverables, timelines, responsibilities, and fees for an event will be set out in a written quotation, proposal, or event agreement.

If there is a conflict between these Terms and a signed event agreement, the signed event agreement will prevail for that event to the extent of the conflict.

We may work with third-party venues, vendors, contractors, and performers. While we coordinate these parties with care, we do not control their independent operations and are not responsible for their acts or omissions except as required by law or expressly stated in an event agreement.

05Enquiries and Quotations

Submitting an enquiry does not create a booking. Quotations are based on the information available at the time and may change if event requirements, guest numbers, dates, venues, or market conditions change.

Unless stated otherwise, quotations are valid for the period shown in the quotation. We may need to confirm availability with venues and suppliers before a quotation becomes final.

06Bookings and Deposits

A booking is confirmed only when we have received the agreed deposit or booking fee and you have accepted the applicable quotation or event agreement in writing.

Deposits secure your date and allow us to begin planning and reserve third-party services. Unless your event agreement says otherwise, deposits may be non-refundable because they cover committed planning time and supplier reservations.

We reserve the right to decline a booking, including where the event would be unlawful, unsafe, or incompatible with our services or values.

07Client Responsibilities

You agree to:

  • Provide accurate and complete information about your event, guests, budget, and requirements.
  • Obtain any permits, licences, approvals, or consents required for your event, unless we have expressly agreed in writing to arrange them.
  • Respond to requests for decisions, approvals, and information within agreed timelines.
  • Ensure that any materials, images, music, or content you provide do not infringe the rights of others.
  • Comply with venue rules, safety requirements, and applicable law.
  • Ensure that guests and attendees behave appropriately and follow venue and event rules.

Delays or additional costs caused by incomplete information, late decisions, or failure to obtain approvals may be your responsibility.

08Payments and Taxes

Payment schedules, accepted payment methods, and due dates will be set out in your quotation or event agreement. Invoices must be paid by the stated due date.

Late or overdue payments may result in suspension of work, loss of supplier reservations, or cancellation of the event, without limiting our other rights.

Fees may be subject to applicable taxes, service charges, bank charges, and third-party costs. Unless stated otherwise, taxes and applicable government charges are payable in addition to our fees.

All amounts are stated in the currency shown in your quotation or invoice.

09Changes and Cancellations

Requests to change an event date, venue, guest count, or scope must be made in writing. Changes are subject to availability and may result in revised fees, supplier charges, or additional costs.

Cancellation terms, including any refund of deposits or advance payments, will be set out in your event agreement. Unless stated otherwise, amounts already committed to venues, suppliers, or other third parties may not be refundable.

If you cancel, we will provide a written account of amounts paid, amounts committed, and any refundable balance in accordance with your agreement and applicable law.

We may cancel or suspend an event where necessary for safety, legal compliance, non-payment, or circumstances beyond our reasonable control. In such cases, we will work with you in good faith to resolve the matter.

10Third-Party Vendors and Venues

Events often depend on third-party venues, suppliers, and service providers. Their availability, pricing, quality, and performance are outside our direct control.

We will use reasonable efforts to coordinate third parties and address issues that arise. However, we are not responsible for cancellations, delays, losses, or damages caused by third parties, except where caused by our own negligence or as required by law.

Any contract you enter into directly with a venue or supplier is between you and that third party. Their terms may apply in addition to ours.

11Intellectual Property

This website and its content, including text, designs, graphics, photographs, logos, and branding, are owned by or licensed to Vihaani Events and are protected by applicable intellectual property laws.

You may view and use the website for personal, non-commercial purposes. You may not copy, reproduce, modify, distribute, publish, or use our content for commercial purposes without our prior written permission.

"Vihaani Events" and associated logos are our trademarks or brand identifiers. Nothing on this website grants you a licence to use them.

12Event Media and Portfolio Use

We may photograph or record events for documentation, quality review, and portfolio purposes, subject to your event agreement and any preferences you communicate to us.

Where required, we will obtain consent before using identifiable images of individuals for marketing. If you or a guest prefer not to appear in public portfolio materials, please tell us in writing and we will take reasonable steps to respect that request.

You grant us permission to use event photographs and recordings for portfolio and promotional purposes unless your event agreement says otherwise.

13Prohibited Conduct

You must not use our website or services to:

  • Engage in unlawful, fraudulent, abusive, or harmful conduct.
  • Harass, threaten, or discriminate against our team, vendors, guests, or any other person.
  • Request or require us to organise an event that is illegal, unsafe, or in breach of venue rules.
  • Infringe the intellectual property, privacy, or other rights of any person.
  • Interfere with the safety, security, or enjoyment of an event.

We may take reasonable action, including ending our involvement, where conduct is unlawful, unsafe, or seriously disruptive.

14Disclaimers

This website is provided on an "as available" basis. While we aim to keep information accurate and up to date, we do not warrant that the website will be uninterrupted, error-free, or free of harmful components, or that all content is complete or current.

Event outcomes depend on many factors, including third-party performance, weather, venue conditions, and guest behaviour. We do not guarantee a particular outcome, attendance level, or commercial result unless expressly agreed in writing.

Nothing in these Terms excludes or limits any warranty or liability that cannot be excluded or limited under applicable law.

15Limitation of Liability

To the fullest extent permitted by law, Vihaani Events will not be liable for indirect, incidental, special, consequential, or punitive damages, or for loss of profit, revenue, opportunity, goodwill, or data, arising out of or in connection with your use of this website or our services.

To the fullest extent permitted by law, our total liability for any claim arising out of or relating to an event will not exceed the total fees paid by you to us for that event, excluding amounts paid directly to third parties.

These limitations apply regardless of the legal theory on which a claim is based, even if we have been advised of the possibility of such damages.

16Indemnification

To the extent permitted by law, you agree to indemnify and hold harmless Vihaani Events, its team members, contractors, and partners from claims, losses, liabilities, damages, and reasonable costs arising from:

  • Your breach of these Terms or an event agreement.
  • Information, materials, or content you provide that infringe the rights of a third party.
  • Your failure to obtain required permits, licences, or approvals.
  • The conduct of your guests, attendees, or contractors at an event.

17Force Majeure

We are not responsible for delays or failure to perform caused by events beyond our reasonable control, including natural disasters, severe weather, fire, flood, epidemic or pandemic, government action, civil unrest, strikes, transport disruption, venue closure, or failure of utilities or suppliers.

Where a force majeure event occurs, we will notify you promptly and work with you in good faith to reschedule, adjust, or otherwise resolve the event. Any resulting costs will be handled in accordance with your event agreement and applicable law.

18Governing Law and Disputes

These Terms are governed by the laws of Nepal. Subject to any mandatory legal rights that apply to you, disputes arising out of or in connection with these Terms or our services will be subject to the exclusive jurisdiction of the courts of Kathmandu, Nepal.

Before starting formal proceedings, we encourage you to contact us so we can try to resolve the matter amicably.

19Changes to These Terms

We may update these Terms from time to time. When we do, we will update the "Last updated" date at the top of this page. Changes apply from the date they are posted, unless stated otherwise.

Your continued use of the website or services after changes are posted means you accept the updated Terms. If you do not agree, please stop using the website and contact us about any active booking.
